I'm not sure that WCC would be as it's likely they will have one if not two events to run during that week as well so manpower will be stretched :wink: !

I was going to suggest that we allocate one or two table spaces to not-for-profit hirekits and the kit holders co-ordinate together. Thats just my opinion. I think some places like pepsicles are doing the hire for profit (and sell other stuff anyway) so I feel they should hire a stall but I would like to see TNNer co-operate to get the most out of the Expo.

Maybe work out a display of available hirekits with a photos of each disciptions etc and notebook or folder for each hirekit (for showing when kits are unavailable and for visitors to leave email or other contact details if they are interested in hiring a kit)... some kits might be on hand to show off, others will just be photos IYKWIM.

Got quite a bit covered, SB is kindly having a look "in person" at the two finalists (western springs and panmure) to see which will work best for us.

We've got notes to go up soon, just wanting to make sure we all agreed to the same things IYKWIM.

Here are the combined notes from Wednesday meeting....

Notes from Auckland Real Nappy Week organisation group at Karmiecs 30 January 2008.
Karmiec, sb, cloth convert and Mermaid 13

RNW Events:
• Separation of Nappicinos from Expo.
• Expo to target non-cloth users and new cloth users as well as providing for TNNers. Social Events are more likely to attract existing TNNers.
• Would love to see rolling Nappacinos across Auckland during RNW at homes or Community Centres. Community Centres being less intimidating for newbies, there will be a minimal cost and still people may not turn up? Though I don't think it will be a biggie as we could always just have a gold coin donation box

Venue:
• Narrowed down to Panmure or Western Springs. To be visited in the coming week to decide: specifically Looking at how they could be set up (number of tables and configuration that won’t scare newbies)
• Western Springs is complete use of the building, but demonstrations/talks would be in the main area at the same time as stalls (possible noise issues)
• Panmure is bigger, but less road frontage and one room in the building is booked in the morning...
• Price is the same for both $28 per hour (before any discount if applicable) and bond of $200. Need to book soon as preliminary booking (pencilling in) will expire soon. Both include a kitchen space suitable for stall holders and volunteers to store lunches etc.
• Karmiec to pass on contact details to SB to arrange to do viewings.


Stallholders:
Stalls should be Nappy retailers, specifically so that we are not scaring off un-crunchy newbies. If we have additional space after nappy retailers have booked we will “cross that bridge when we get to it”
We would like to provide free tables to Not for Profit (eg: Hirekits and TNN Demo kits)
Price would be a flat rate per table-sized-space. Smaller WAHP’s may share tables to split costs. Expecting $20 - 25 per table to allow for hireage and advertising costs
TNN will provide retailers the RNW logo to be put up on their website.

Checking the list of Auckland and other Local Nappy Retailers:
Is aquabubs a nappy retailer? Will it be by April?
Clarify who the new Fuzzibunz distributor is
Little Cloth Kiwi may now be Wellington based (Debbie Smith?)
Nature Baby
Baby Online (Popolini)
Cheek Boutique and Peapods?
Bambino Mio?
Pepsicles?
Callums Godmother is updating the hirekit list.
Identified approximately 6-8 major retailers on the list who may want full or double spaces, plus retailer from the Waikato and Bay of Plenty
Distributors should have agreements in place regarding sale at expos etc. We would rather retailers showed different brands rather than having the same brand at multiple stalls. This could be confirmed at the booking stage by stating your featured nappy brand.
Email to retailers asking for expression of interest once venue is confirmed.
Helen (Ethans Mum has volunteered to send initial email)

Demonstrations:
TNN to host general demonstrations to avoid any appearance of bias. Demonstrators not to be affiliated to any nappy retailers or manufacturers. Use TNN demo kits.
If a retailer wants to demo their own product they can book the demo space for this purpose. (at a small fee)
Advertising:
Classified Advertising deemed to be prohibitively expensive and likely to miss our target audience.
Pricing Coro flute signs for the Community Noticeboards (Sarah/Mygirls may already be doing this)...
Make use of all free “upcoming events” or “this months events” type advertising
- Littlies
- The Aucklander etc

Pricing Photocopying for flyers/Posters : determine whether it is best to do Auckland or Nationwide
If Auckland specific look at including demo times.
Did KLS have a printer in mind who could do a bulk job for all NZ?

Posters/Text for Newsletters to be emailed to other organisations: posters can be posted/delivered on request

Free Static Advertising on Triangle TV : same time as poster designing
At this stage we would prefer to use the existing TNN Logo f
or continuity in promotional signage.
Advertisements should state that the Expo is free entry.

Volunteers:
We are looking for Volunteers for ‘mother sized’ (small jobs Mums can manage!)ASAP – Greeters, Demonstrations, Photography, People to man TNN displays, Pack up (supervision & cleaning. The date for the expo is Saturday 19 April, 10am -3pm plus an hour either side for setup/clean up.

no food will be provided but possible to organise for a bun run so people/helpers can purchase lunch/snacks

do the coffee cart thing (hopefully the vendor will be more reliable than last year's who left after within the hour!)

I've had look at that Retailers list from Ethans Mum and compared with some old TNN lists I found... then I went on a tiki-tour round some eco and other cloth sites... That led me to some I hadn't seen before. This is a combined list from with a few of those new ones I found - I might have missed some of the BOP places as a few weren't clear where they were based so I would check the phone numbers for an (09)

Cool, she is auckland based AND retails Kushies too.

I can't believe how many people are selling nappies online these days.


BTW - My hope is that we can get as many newbies/customers as possible, but also that we can have cloth nappy products to suit as many people as possible. I want to see some really cheap and some more top-shelf nappies on display, as well as trainer pants etc.

Are any other retailers keeping an eye on this thread? Do you want to stick your two cents worth in? Everyone should feel welcome to make suggestions.

Venues

I have been to have a look at Panmure and Western Springs. First up Western Springs is my fave because of its location.

Panmure is big, the dining room had four trestle tables in it with some kind of lesson going on at the time, so it would suit demos. Its about 5 or 6kms from the motorway.

Western Springs is smaller, there would only be the stage area available for doing demos, but it could work, because it is a low stage and it feels a bit separate from the rest of the room. It is about 500ms from the motorway. Its a hexagon shape and I think this would work ok for stalls. There is a 2m outdoor covered area around about 60% of the building, which runs out onto a lawn, which would be good if the weather was ok for stalls.

i don't think we could reasonably book outside for tables because of auckland weather :roll: :shock: 8-) :wink: ,but would be nice as just a chatting area :lol: and i quite like the sound of the stage
i think that western springs would be my pick too as ( in my mind) panmure is quite far out. (other comments???????)

Western Springs is nice and central and just off the motorway which is good. There is a big list of retailers now 8-) - obviously these are going to have to be limited. It would be great to have as many as possible though!
